Fair and transparent refund terms
1. Overview
At Nexacos Private Limited, we are committed to delivering high-quality software development and IT services. This Refund Policy outlines the terms and conditions for refunds and cancellations of our services.
2. Service-Based Refund Policy
As a service provider, our refund policy differs based on the type of service and the stage of the project:
Custom Software Development
For custom software development projects, refunds are handled on a case-by-case basis. Work completed and delivered is generally non-refundable. However, if we fail to deliver agreed-upon milestones as specified in the Statement of Work (SOW), you may be eligible for a partial refund for the undelivered portion.
Consulting Services
Consulting hours that have been delivered are non-refundable. Unused prepaid consulting hours may be refunded within 30 days of purchase, subject to a 15% administrative fee.
Subscription-Based Services
For recurring subscription services, you may cancel at any time. Refunds for the current billing period will be prorated based on the unused portion of the service, minus any setup fees.
Training and Workshops
Cancellations made more than 14 days before the scheduled training date are eligible for a full refund. Cancellations made 7-14 days before receive a 50% refund. Cancellations made less than 7 days before are non-refundable.
3. Deposit and Advance Payments
Initial deposits and advance payments are subject to the following terms:
- Deposits paid to initiate a project are non-refundable once work has commenced
- If the project is cancelled before work begins, deposits are refundable minus a 10% administrative fee
- Advance payments for future milestones may be refunded if those milestones have not been started
4. Project Cancellation
If you need to cancel a project:
- Provide written notice of cancellation via email
- You will be invoiced for all work completed up to the cancellation date
- Any remaining balance for uncompleted work may be refunded, subject to the terms in your service agreement
- Source code and deliverables will be provided for completed milestones only
- A cancellation fee may apply as specified in the service agreement
5. Quality Guarantee
We stand behind the quality of our work. If deliverables do not meet the specifications outlined in the agreed-upon SOW or contract, we will work to correct the issues at no additional cost. If we are unable to meet the agreed specifications after reasonable attempts, you may be eligible for a partial refund for that specific deliverable.
6. Refund Request Process
To request a refund:

- 4You will receive a written response regarding the approval or denial of your request
- 5Approved refunds will be processed within 14 business days to the original payment method
7. Non-Refundable Items
The following are non-refundable:
- Third-party software licenses purchased on your behalf
- Domain registration and hosting fees
- Third-party service integrations and API costs
- Completed and delivered project milestones
- Custom research and discovery phases
- Travel expenses incurred for on-site services
8. Dispute Resolution
If you are not satisfied with our refund decision, you may request a review by our management team. We are committed to working with you to reach a fair resolution. If an agreement cannot be reached, disputes will be handled according to the dispute resolution process outlined in your service agreement.
9. Payment Processing Fees
Please note that payment processing fees (typically 2-3% of the transaction amount) charged by payment processors are non-refundable. These fees are deducted by third-party payment providers and are outside of our control.
10. Modifications to Services
Changes to project scope, requirements, or deliverables after work has commenced may impact refund eligibility. Additional charges may apply for scope changes. Any refunds will be calculated based on the original agreed scope minus completed work.
11. Force Majeure
In the event that we are unable to deliver services due to circumstances beyond our reasonable control (natural disasters, pandemics, government actions, etc.), we will work with you to reschedule services or provide a prorated refund for undelivered services.
12. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services after changes are posted constitutes acceptance of the modified policy. Existing contracts will be governed by the refund policy in effect at the time of contract execution.
